Qualifications

  • High school diploma or GED required
  • Minimum of one (1) to four (4) years related experience
  • Demonstrated intermediate to advanced skills in Microsoft Word, Excel, and Outlook, Internet and Intranet navigation.
  • Highest level of professionalism with the ability to maintain confidentiality
  • Ability to communicate at all levels of organization and work well within a team environment in support of agency objectives
  • Customer service oriented with the ability to work well under pressure
  • Strong attention to detail and accuracy, excellent organizational skills with ability to prioritize, coordinate and simultaneously maintain multiple projects with high level of quality and productivity
  • Function independently, and have flexibility, personal integrity, and the ability to work effectively with patients, patient’s family, employees and vendors

 

Responsibilities

  • Meet physical and sensory requirements stated below, and be able to work in the described environment.
  • Operate telephone to answer, screen and forward calls, providing information and taking messages.
  • Provide administrative support for the Social Workers.
  • Assist with handling daily special projects by providing administrative support to various departments, outside agencies and attorneys, as requested.
  • Act as the liaison with other departments, attorneys, and other agencies while working on multiple projects and maintain timelines for project deadlines
  • Contact new referrals and set up charts for referrals.
  • Schedule appointments for referrals and existing patients. Notify appropriate staff and the patient’s attorney of scheduled appointments.
  • Remind patients of upcoming scheduled appointments.
  • Update and maintain patient charts through the referral process.
  • Update and maintain the patient grid.
  • Obtain necessary medical records for patient referrals.
  • Handle scanning, faxing, filing of medical records and other required documents.
  • Assist with community and Advisory programs and events as directed.
  • Travel with the Social Workers as directed.
  • Other special projects and duties, as assigned.

 

Work Environment

  • You’ll work mostly indoors on floors that are tiled or carpeted
  • You’ll be around other co-workers, vendors and community members
  • You’ll have possible exposure to occasional slippery floors, chemicals, sharp objects, and hazardous materials and waste (including human), blood borne pathogens, and communicable
  • You’ll be around possible high-stress situations

 

Physical Requirements

  • This role requires moderate physical activity
  • Standing and/or walking for more than two (2) hours per day
  • Sitting for more than two (2) hours at a time
  • Requires writing and/or computer work with repetitive typing and concentrating on computer screen and/or documents for more than two (2) hours at a time.
  • Travel, including flying and/or driving, for more than one (1) hour at a time.

Updated Holiday Policy

We are excited to announce that Employee’s Birthday has been added to our paid holidays!

The updated policy will be effective 6/6/22. However, qualifying Employees with birthdays from 1/1/22 to 6/5/22 will be grandfathered in. As with all paid holidays, you must be full time, limited full time or part time (maintaining a minimum of 20 hours per week) and be employed 90 days to qualify for the Employee Birthday Holiday.

We also reduced the number of call-in days before and after a holiday to be disqualified for a paid holiday.

Paid Holidays

The following are provided to all eligible full time, limited full time and part time employees (maintaining 20 hours/week) after the 90-day probation period:

  • Employee’s Birthday
  • New Year’s Day
  • Memorial Day
  • Independence Day
  • Labor Day
  • Thanksgiving Day
  • Christmas Day

Holidays that fall on Saturday will be observed on Friday and on Sunday, will be observed on Monday.  Holidays will be paid the pay period of the holiday, whether you work or are off.

This Agency provides care for patients every day of the year.  This includes holidays.

In order to be eligible for holiday pay, an employee must work his/her full schedule.  An employee who calls in the day of a holiday or 3 days before or 3 days after the holiday, will not be eligible for holiday pay.  All schedules are subject to change during holidays in order to accommodate patient needs.  If an employee’s routine patient cancels services for the holiday, that employee is subject to being assigned to another patient.

Holiday pay will not be paid if:

  • The employee fails to maintain full time, limited full time, or part time hours (depending on employee status) for the 2 weeks preceding the holiday.
  • The employee is on lay-off status.
  • The employee is on leave of absence when the holiday occurs. (i.e. FMLA or Workers’ Comp)
  • The employee is requested to work during a paid holiday and the employee refuses to do so.

Employees who work during a paid holiday will receive holiday pay plus regular pay.

Note:  An employer can legally require an employee to work a holiday.

Employee’s Birthday

We want to help celebrate you and your special day! Birthday Holiday’s must be used in the same pay period as the employee’s birthday.  Employees will complete a Time Off Request noting Birthday in the reason code if requesting a scheduled day off. Request must be submitted by the 20th of the prior month.

Employee Birthday Holiday will follow the same qualifications and guidance as other paid holidays.

As with all paid holiday’s, the employee must record Birthday Holiday on their time sheet to receive the Birthday Holiday pay.
